IMPORTANT INFORMATION:

•    All documents attached in electronic format to the application will also have to be submitted as original signed documents at the host institution once if you are successfully selected.

•    You must upload scanned versions in PDF format of all your original documents (transcripts of record, diploma, degree certificates, language certificates etc.). In addition, scanned versions of certified translations/official translations of all these documents into English or the language of your host country are obligatory!

PLEASE NOTE: The below is general guidance on the documents you need to gather to upload with your application. Some Host Universities may require additional documents, or may insist on certain documents below being compulsory. For this reason we require that you read the below information, in addition to the information provided by the Host University on the programme information page. If you have any doubts, please ensure you email your respective Host University.

 

- Passport Scan: A scan of the main page of your passport [i.e. the page with your photo]. If you do not have a passport, then provide a scanned copy of your national identity card or equivalent document in your country. Required for all TGs.

- Motivational statement, max 500 words. (Statement to indicate motivation for course, host university and HERMESprogramme), has to be entered during the online-application in the web-form and is required for all TGs. This statement must answer the following questions:

1.  Why are you the right applicant for this project?

2.  Why is HERMES the project that you apply for?

3.  Why do you apply to this specific host university?

4.  What is your plan upon completion of this scholarship?

You may want to consider writing your motivational statement in the teaching language of the university that you apply for.

- Your Current CV in Europass Format: Your CV needs to be filled in as accurately as possible and must indicate you have not resided nor carried out your main activity (studies, work, etc.) for more than a total of 12 months over the last five years in one of the European countries (except European and TG3 applicants). Required for all target groups.

- Statement on oath for nationals of Jordan, Lebanon, Syria and Palestine declaring that they do neither have a resident status in an Europeancountry, nor have resided nor have carried out their main activity (studies, work,etc) for more than a total of 12 months over the last five years in any country of

the European Union.

- Language certificates: must be issued by an official language school, university or equivalent and state the level of proficiency you hold in that language. Please refer to Host university entry requirements for details of the level required.

- Proof of registration: document issued by your home university stating that you are currently enrolled, e.g. student identity card. Required for TG1 and TG2, and TG3 if applicable.

- Learning Agreement for exchange mobilities only - not required for degree seeking mobilities. To be signed by home university (and host university later on). Required for all TGs.Please click on the link to generate the Learning Agreement template.​

- Workplan indicating the topic of the research, teaching, or training you intend to conduct at your host university. To be signed by home university (and host university later on). Required for TG1 and TG2.Please click on the link to generate the Workplan template.

- Invitation/acceptance letter signed by the hosting laboratory/administrative service strongly recommended.

- Documents to prove belonging to vulnerable (TG3) or disadvantaged groups (if applicable).

Finally, check the university information sheets whether your host university requires additional documents!
